Zoom recordings in HeyHoney

The HeyHoney app for Zoom brings the cloud recordings of your live calls into your community, with no manual uploads.

Connect Zoom in HeyHoney

What the app does

  • Every 15 minutes, HeyHoney checks for finished cloud recordings of all active users of your Zoom account from the last 30 days.
  • HeyHoney matches each recording to the right live call by the Zoom meeting number in the event. If the event has no Zoom meeting number of its own, the same name is enough when the call starts at the same time.
  • A recording is copied only after you share it, or right away if you turned that on for the event.
  • HeyHoney does not change meetings, users or settings in Zoom. The only change in Zoom: when you click, HeyHoney moves a recording that is already copied to the Zoom trash.

Before you start

  • A Zoom account with cloud recording. You are the owner or an admin of that Zoom account, because the app works for the whole account.
  • A HeyHoney account with access to your community settings and permission to edit events. HeyHoney asks for two-factor authentication when you connect.
  • For the Zoom trash, deleting cloud recordings must be allowed in your Zoom account.

Connect Zoom

  1. Sign in to HeyHoney.
  2. Open Community, then Settings, then the “Zoom recordings” section.
  3. Click “Connect Zoom” and confirm two-factor authentication if HeyHoney asks for it.
  4. Zoom opens. Sign in as the owner or an admin of the Zoom account and allow access.
  5. Back in HeyHoney, the section shows “Connected to” and the email address of your Zoom account.

If you come from the Zoom Marketplace, you land on this page. Connecting always starts in HeyHoney.

What the app needs access to

  • Read your Zoom profile, so HeyHoney can show which Zoom account is connected.
  • List the active users of your Zoom account, so recordings from your sub-accounts arrive too.
  • Read the cloud recordings of those users and fetch the finished video file.
  • Move a recording to the Zoom trash, only when you click.

Using recordings

  • Live calls: turn on “Share the Zoom recording with members automatically” for the event. After copying, the recording shows up in the community calendar under “Recordings”.
  • Without that setting, you review each recording first: in the community calendar under “Recordings”, section “Zoom recordings”, with “Share”, “Assign” or “Ignore”.
  • Recordings without a matching event stay in this list for 30 days. Your team can assign them to a live call, which shares them, or ignore them.
  • 1:1 calls: only the person who booked can see the recording, and only after it is shared.
  • For 1:1 calls, HeyHoney shares automatically only if you turn that on in the call settings. It is off by default.
  • Copied recordings count toward your plan’s video storage. If it is full, the copy waits until there is space again.
  • You can see all recordings and their status in HeyHoney under “Recordings”.

Who can see what

  • Members only see shared recordings of the live calls in their community. They watch them in the HeyHoney player, never through a Zoom link.
  • Only your team sees the list of Zoom recordings with the Zoom topic: admins and community admins with permission to edit events.
  • A recording that belongs to several communities, such as a shared call, shows up in each of them.

Zoom trash

  • Once a recording is copied and fully processed, you can remove it from Zoom with “Move to Zoom trash”.
  • Before that, HeyHoney checks that the copy is complete. If it is not, the recording stays in Zoom.
  • Zoom keeps it in the trash for 30 days, where you can restore it. HeyHoney never deletes anything permanently in Zoom.

Disconnect Zoom or remove the app

  • In HeyHoney: Community, Settings, “Zoom recordings”, then “Disconnect”. HeyHoney deletes its access and revokes it at Zoom.
  • In Zoom: sign in to the Zoom App Marketplace, open “Manage”, then “Added Apps”, find HeyHoney and click “Remove”. Zoom notifies HeyHoney, and HeyHoney deletes its access.

What happens to the data afterwards

  • HeyHoney stops fetching new recordings from Zoom.
  • Recordings that were already copied stay in your community until you delete them.
  • Recordings that were not copied yet stay in the “Zoom recordings” list; “Ignore” hides them. They can no longer be copied without a connection.
  • If you delete your HeyHoney company, we delete all recordings and all data from Zoom.
